How CEMS collects, uses and protects your personal data, and what we store on your device.
Who is responsible for your data
[Legal name of the organisation], registered at [registered address], [registration or tax number], is the controller of the personal data described on this page.
Write to us about anything on this page at dev+cems@orgo.space.
[If you have appointed a data protection officer, give their name and contact details here. Delete this paragraph if you have not.]
Replace the bracketed text above with your own details before publishing.
What we collect, and why
We only collect what a given interaction needs:
- Membership and account. Name, email address, phone number and the details you enter in your profile. We need these to run your membership - the legal basis is the performance of our agreement with you.
- Newsletter. Your email address, on the basis of your consent, which you can withdraw at any time using the unsubscribe link in every message.
- Events. The details you give when you sign up, so we can organise the event and let you in.
- Donations and payments. Amount, date and the reference our payment provider returns. Card details are entered on the provider's own form and never reach our servers.
- Messages you send us. Whatever you write, kept so we can answer and follow up - our legitimate interest in responding to you.
- Technical logs. IP address, browser and the pages requested, recorded automatically by our servers to keep the site secure and available - our legitimate interest in operating it safely.
[Add anything else you collect that is specific to your organisation, and remove what does not apply to you.]
Who else sees it
We do not sell personal data and we do not share it for anyone else's advertising. We do rely on service providers who process data strictly on our instructions:
- Orgo - the membership platform this website runs on, hosting the site and the member database in the European Union.
- Our payment provider - processes card payments and donations, and is a controller in its own right for fraud prevention.
- Our email provider - delivers the messages and newsletters we send you.
- [Any other provider you use: accounting, analytics, ticketing, and so on.]
We also disclose data where the law requires it, for example to a court or a public authority acting within its powers.
How long we keep it
We keep personal data for as long as the purpose it was collected for lasts, and then for as long as the law requires us to:
- Membership records: for the duration of the membership and [retention period] afterwards.
- Accounting and donation records: the period our tax law prescribes.
- Newsletter subscriptions: until you unsubscribe.
- Technical logs: [retention period].
[Replace the bracketed periods with the ones you actually apply.]
Your rights
Under the GDPR you can ask us at any time to:
- tell you what data we hold about you, and give you a copy;
- correct anything inaccurate or incomplete;
- erase your data, where we have no further reason to keep it;
- restrict or object to how we use it, including any processing based on our legitimate interest;
- receive the data you gave us in a portable, machine-readable format;
- withdraw a consent you previously gave, without that affecting what we did before you withdrew it.
Write to dev+cems@orgo.space and we will answer within one month. If you are not satisfied with our answer, you can complain to the data protection authority in the country where you live or work.
Cookies and similar technologies
A cookie is a small file a site stores on your device. Some are necessary for the site to work at all; the rest run only if you allow them.
- Strictly necessary. Keeping you signed in, remembering your language and display preferences, and remembering the choice you made about this banner. These do not need your consent and cannot be switched off without breaking the site.
- Analytics and marketing. Used to understand how the site is visited. They load only after you accept them, and not at all if we have configured none. [List the services you use, for example Google Analytics or Meta Pixel, and delete this category entirely if you use none.]
You can change your mind at any time by clearing this site's data in your browser settings, which brings the choice back on your next visit. Your browser can also block cookies altogether, though parts of the site will then stop working.
